How Italy Trip Planning Works — and Why It Changes Everything

How Italy trip planning works depends entirely on who’s doing the planning, and what they’re actually planning for

How I work

How Italy trip planning works - The FLOW system

Planning that works behind the scenes

After helping over a hundred discerning travellers plan Italy, I built a framework. Not a checklist, not a template. A way of planning I’ve developed and refined across every single trip, to make sure the right things happen, including the ones you’d never know to plan for.

F

I find the “Why”
THE GOAL: Getting everyone on the same page

Most Italy trips start by picking a city. I start somewhere more important: understanding what you actually need from this particular journey. Not just the destinations – the feeling. The pace. The reason this trip matters right now.

When everyone travelling shares a vision from the start, no one feels like they’re being dragged along. The planning that follows builds on something real.

“I spent hours searching activities, websites, and tours, and nothing suited… and then I found you.”
— Michael, first message.

L

I design the rhythm
THE GOAL: Seeing more by doing less

I use what I call the Wave Principle — alternating high-energy exploration with intentional breathing room. Fewer places, longer stays. Time to actually feel somewhere, rather than pass through it.

Most itineraries are built around a map. Florence is close to Rome, the train is short, the logic seems sound, so destinations get stacked. Efficient on paper. But Italy places real demands on the people experiencing it, and a trip designed purely around geography optimises the logistics while ignoring the human being travelling.

Good destination sequencing isn’t filler. It’s what makes everything around it sharper.

Non-obvious routing is built in from the start: the Friuli wine hills, Civita di Bagnoregio, Pantelleria – the Italy that exists beyond the standard trail.

O

I handle the unseen
THE GOAL: A safety net the whole time you’re there

Once you’re travelling, I stay with you. Not intrusively, but I’m there. Proactively monitoring arrangements, confirming with drivers and guides, and checking conditions. If something shifts, I’ve usually already seen it coming.

And when the unexpected happens – a delayed arrival, a missed time slot, weather changing a boat tour – I’m a message away. Not a call centre. Me, the one who knows your trip inside out. Still wondering if you should plan it yourself?

“I was blown away. Vanya was in contact when we didn’t arrive when expected. I messed up the time for the Colosseum, and we should have missed it entirely. She called the guide and organised a rescheduled time. Without her, we would not have been able to attend.”

“The reassurance that all plans were running to schedule and that we had ‘back up’ the whole time was fantastic.”

W

I weave the moments
THE GOAL: The story you’ll still be telling

Every great trip is built of personal moments that define it. Not a day –  moments. And the ones that stay with people forever are rarely the ones they thought to ask for.

A client reached out to plan her husband’s 50th birthday trip to Italy. Halfway through planning, he contacted me quietly- his wife’s birthday fell during the same trip. I organised a surprise two-Michelin-star dinner in Rome. Two people, separately, trying to give the other the moment of their lives.

When another family mentioned their daughter had just graduated in criminal justice, I added Bologna to the itinerary, home to the oldest university in the world. Then a private guided tour through the Justice palaces. Then, at the end, a laurel crown – the honour Italian students receive at graduation. It wasn’t on any list. It couldn’t have been.

My job is to find that moment for your trip. The one that fits so precisely it could only ever have been yours.

How Italy trip planning works: the 5-step process

Let's discuss

Initial Proposal

The Detail Work

Enjoy your holiday!

Until Next Time

Every trip begins with a conversation. I want to understand what this journey actually means to you: the occasion, the feeling you’re after, the Italy you’ve been imagining. Tell me where your instincts point, what you’ve loved before, what you want to leave behind. From there, I’ll start mapping a route that fits you specifically. Not a template, not the standard trail. Just your trip.

Based on our conversation, I’ll put together a first itinerary shaped around your specific travel mood, group, and time. Not a destination list, a considered structure. I’ll suggest where to go and for how long, building in the rhythm that makes a trip feel right rather than rushed. You’ll see the thinking behind every choice, and from here we refine it together until it fits you exactly.

This is where the detail work happens. I arrange accommodation, transportation, and every experience on your itinerary, managing the complexity most travellers never see coming. Every decision is yours throughout. I bring the options, the knowledge, and the local depth to make each one easy. This is how Italy trip planning works in practice – every decision yours, every detail mine.

Everything is in place. All you need to do now is arrive. I’ll be monitoring in the background, proactively confirming arrangements, staying across any changes, and just a message away if anything shifts. You already know what I do when something unexpected happens. Now you get to find out what Italy feels like when none of that is your problem to solve.

You’ll come back different from the Italy you left. Not because of where you went — because of how precisely it was shaped around you. What you love, how you travel, what this trip needed to be. And when you’re ready to do it again, I’ll be here.

Here's what that looks like from the other side.

"perfectly planned, exceptional experience from start to finish"

Vanya at Design Your Italy provided an exceptional experience from start to finish. Every detail, from accommodation to day trips, was perfectly planned to match our expectations. The process was smooth, with clear guides and Vanya’s support throughout. Friendly, efficient, and a pleasure to work with—we’ll definitely book with her again. Thank you!
